What to Include in a PO to Avoid NCRs

The Problem

Most NCRs trace back to unclear or incomplete purchase orders. When documentation, inspection, and material requirements aren't specified upfront, assumptions fill the gaps — and assumptions lead to non-conformances.

Essential PO Elements

  1. Drawing revision level — always reference the latest revision
  2. Material specification — grade, condition, and applicable standard
  3. Documentation requirements — MTR type, dimensional reports, test certificates
  4. Inspection requirements — hold points, witness points, third-party inspection
  5. Surface finish requirements — Ra values, plating, coating specifications
  6. Marking and packaging — how parts should be identified and protected

  • Material specification and condition
  • Heat treatment requirements
  • MTR/MTC requirement (EN 10204 type)
  • Dimensional inspection requirements
